We want you to enjoy your holiday in Peru to the fullest, so we recommend that you read carefully and follow the instructions of your sales agent.
We are considered one of the leading travel agencies in Cusco and are part of the RAP Travel group.
Please read the following conditions carefully, as this is your contract with our agency. By booking a trip with us, you accept and will be bound by these Terms and Conditions, which describe, among other things, our cancellation policy and certain limitations of liability at the time of making your reservation.
The quote provided by us will be valid once the reservation is confirmed, from which point you may ask all questions regarding your holiday. We are happy to answer all your questions. Quotes do not apply to international flights to and from Peru. If you would like our help with international flights or flights within Peru, the flight must be paid for immediately and purchased on the same day or, if possible, the next day to ensure the validity of the offer, as prices vary from day to day.
Our prices do not include meals not specified in your itinerary, personal expenses, personal insurance, and luggage portage.
1. The Contract
The contract is between us (also known as the company) and the customer, who is the person travelling or intending to travel on a tour operated by the company. You, the customer, are deemed to have read and understood our travel policy as set out below. By making a booking by telephone, through the website, or by email or fax, you accept and are bound by these Terms and Conditions.
These Terms and Conditions constitute the entire agreement between the Company and the Customer in relation to the subject matter herein, and shall constitute a binding agreement. There is no oral or written representation, warranty, collateral agreement, prior agreement, description of services, or condition or any promise of refund other than as expressed herein. The service to be provided is/are the tour(s) mentioned in the booking confirmation.
These conditions only apply to services in our programme and not to international or domestic flights. These are subject to the conditions imposed by the airlines.
2. Securing Your Booking
To secure the booking, we require a completed booking form (either from our website or the one sent by us with your quote), together with payment of the required deposit. The recommended time to make your booking is 30 days before your trip to Peru. A booking is accepted and becomes final only from the date your deposit is received, at which point a contract exists.
3. Customer Details
To confirm and guarantee the organisation of the trip, the customer must provide all their identity details with the initial payment or no later than 30 days before the start of the trip. Customer details include passport number, a copy of the passport details and a medical form (where applicable), full name, date of birth, international flight information, nationality, and an emergency or mobile telephone number.
4. Final Payment / Surcharges
To enable the company to confirm and guarantee the organisation of your trip, the customer must provide all customer details with their final payment at the start of the tour.
Surcharges: To avoid surcharges on your holiday, make your booking in advance and do not change hotels at the last minute.
5. If You Change Your Booking
An administration fee of USD $50.00 per person will be charged if the confirmed booking is changed or transferred to a different departure date or tour, up to 30 days before your trip. Thereafter, all changes will be treated as cancellations and subject to charges as follows.
If a customer is unable to travel and informs us at least 20 days in advance, in circumstances that we consider reasonable, then the booking may be transferred to another suitable person, or their money will be returned less 20% (of which 10% covers money transfer fees and the other 10% covers administration costs). Your money will be returned within 15 days.
6. Changes
The company reserves the right to modify any of the facilities, services, or prices described in the brochure or website. If such a change is made, the customer will be informed at the time of booking or when the change occurs. While the company will endeavour to operate all tours as announced, reasonable changes to the itinerary may be made when deemed necessary or desirable by the Company due to external factors beyond the company's control.
7. Cancellation by the Company
We reserve the right to cancel any trip before its execution is guaranteed, but we will not cancel the trip less than 30 days before departure. Your trip is guaranteed to run unless the minimum number indicates otherwise or due to factors beyond our control. This applies to departures within the brochure validity range.
Note: Airlines may impose 100% cancellation fees.
8. Complaints
If the customer has a complaint about any of the tour arrangements, it is a condition of the contract that they inform our local representative at that time. If you do not complain at that time, and later deny us the opportunity to investigate and rectify the problem, we cannot accept any responsibility. If the customer has a dispute with us and cannot resolve it, please write to us within 28 days of your return and we will investigate further.
9. Travel and Cancellation Insurance
Travel insurance is highly recommended for all customers. We recommend that it should cover personal injury, medical expenses, repatriation costs, evacuation costs, cancellation, and curtailment. It is our policy to check the validity and coverage of your insurance policy; we reserve the right to refuse carriage to any person whose insurance does not satisfy these criteria. If you choose not to purchase travel insurance, you will be required to sign a waiver form acknowledging your acceptance that insurance is recommended but refused, and in case of need for change or cancellation of your trip or if you incur expenses such as medical costs, that the customer will be responsible for all such additional costs.
10. Medical Form
For insurance purposes, all customers are required to complete our form, which must be signed and dated by a medical practitioner (if there are pre-existing conditions) and sent to us no later than 15 days before the start of your trip.
11. Financial Security
We are a travel agency accredited by the Ministry of Tourism and registered as a limited company with the Ministry of Tourism of Peru. We comply with current European standards regarding the protection of customer money.
12. Customer Responsibility
The customer agrees to accept the authority and decisions of our employees, tour leaders, and agents during their holiday. If, in the opinion of these people, the health or conduct of a customer at any time, before or after departure, appears to endanger the safety, comfort, or tranquillity of the tour, the customer may be excluded from all or part of the tour.
Customers must be in possession of their respective identity documents and are responsible for carrying a valid passport and visa, where applicable, and any required vaccination certificates for the entirety of their trip. Your passport must be valid for 6 months beyond the return date.
13. Our Responsibilities
Bookings are accepted on the understanding that customers appreciate the possible risks inherent in adventure travel and that they undertake the visits, excursions, or expeditions mentioned in our programmes of their own free will. It is also important to understand that even the most meticulous arrangements can go wrong.
The company undertakes to provide its services with the necessary diligence so that the entire trip proceeds perfectly; we will endeavour to serve you to the best of our ability.
The Company assumes no responsibility for force majeure, weather phenomena, or natural phenomena that may occur before or during the trip, or for any eventuality that may make any trip uncomfortable or difficult, or for any delay or obstruction of your trip in any way; nor does it guarantee against failure on the part of the company, whether for total or partial execution of the provision of services that the Company has committed to provide, which may have been affected by the aforementioned factors.
14. Flights / Delays
We cannot accept any responsibility for cancellations or delays in any of your flights, whether the cancellation or delay is due to adverse weather conditions, airline rescheduling, airport authorities and/or the action of air traffic controllers, mechanical failure, or industrial action.
Our company will endeavour to adjust your travel itinerary so that all inconveniences are resolved and nothing is affected by flight delays.
The Customer must understand and be flexible if, due to flight delays, problems cannot be resolved.
15. Policy on Children
In all programmes, unless otherwise stated, the maximum age of a child is 11 years and 11 months. Those aged 12 and over are considered adults and will be subject to adult rates.
16. Last-Minute Bookings
For all bookings made within 10 days of departure, there will be a fee of USD $50.00 charged to the file. This Last-Minute fee covers our additional costs for hotel providers, train tickets, bus tickets, and operational expenses.
